Please read the following Terms & Conditions before booking your hire with us.
- 50% of the total invoice amount is payable as an administration charge. The Booking fee is to secure the stage for the date required so the stage is allocated to you and to cover our administration costs. The remainder of the payment is due no later than 14 days before the event date. Stage Events reserves the right to cancel the hire contract if payment has not been paid in full 14 days before the event date. The booking administration fee is non refundable. If the stage hire is booked 14 days before the event date, payment must be received in full before we deliver the stage to site.
- Ample space is required to set up the stage and deliver the stage to site with our tow vehicle. A minimum of 11 meters by 8m is required.
- We do not require a power supply to setup the stage. No power is required unless the pack down is during non daylight hours. Lighting will be required to dismantle the stage safely.
- Un restricted access is required for our vehicles.
- Any groundwork preparation works must be carried out by the client. (Removal of any sharp objects) The ground must also be able to take the weight of the stage and towing vehicle. If Stage Events cannot enter the site because the ground is unstable,100% off the fee is still payable to Stage Events.
- Wind Speed: The manufactures have stated for health and safety that the stage cannot be used in wind speed more than 40mph. If the wind speed is likely to be greater than that of 40mph on the day, Stage events will be unable to setup the stage. If the wind speed exceeds that of 40mph during the event the stage back and side walls must be removed. Health and safety states that all outdoor events or shows must be stopped if the wind exceeds 35mph at anytime. As the event organiser, you will be responsible for the safety of persons using the stage and monitoring the wind speed during the event and whilst people are using the stage. A wind speed anemometer can be provided by stage events if requested for free.
- We strongly recommend you acquire event insurance from insurance brokers as all fees will still be charged in the event of cancellation or termination of the stage hire even due to inclement weather or excessive wind speed. Any damages by artist, event staff (not employed by stage events) & general public must be paid for by the hirer. The hirer excepts full responsibility and liability for and damages, malicious or accidental.
- Patrons who are to intoxicated or under the influence of drugs are not permitted access the stage at any time. Event security must be on hand to supervise persons using the stage and crowed control for public events. We suggest hiring safety pit barriers or mobile barriers to keep patrons back from the stage at a distance of no less than 3m.
- For insurance purposes, the stage must be erected by us, although not exclusively, by our own staff.
- A member of staff from Stage Events will be on hand to oversee the build and breakdown of the stage. Any verbal abuse or threatening behaviour will not be tolerated towards our staff. In the unlikely event that this should happen, the stage will be removed, packed down and free to leave site.
- Cancellation Fees: Your 50% administration booking fee is non-refundable for any cancellations.
- 100% of the booking fee will be charged if cancelled within 14 days of the booking date
- If you need to change the date of your booking we will move your 50% administration booking fee to your new allocated date. The remaining 50% balance will be now payable 14 days before the new revised date of hire.
- The stage most be kept clean and tidy during and after the event. There will be a cleaning charge administered if the stage is covered in gaffa tape or excessive mud.
- Banners: You are free to hang banners from the rigging points or from the side wings, if these have been requested. Stage events can fit and remove banners for a small fee at the clients request. this must be pre arranged so we can supply ladders to access higher points. If banners have left by the client and need to be removed, there will be a charge for removing and taking down. PVC banners will lower the wind tolerance of the stage from 40mph to 24mph this must be factored into the risk assessment. We a recommend blow through scrim banners as these will not reduce the wind speed of the stage.
- As the hirer you are responsible for the safety of people using the stage at all times.
- The stage is your responsibility whilst on site. Theft, breakages or damages must be paid for by the client in full. The stage must be secured by locked gates security fencing and security staff if the stage is being left over night on site.
